Job description

This is an exciting opportunity to work in the Financial Services industry and receive training by one of the most successful advisory offices in Canada. The candidate needed is a self-starter with the drive to succeed and impress. This person has excellent English skills, organizational skills, and is detail oriented. Industry knowledge with minimum experience of 5 years is a must and experience with technology such as Box (online storage) & Salesforce are preferred. A candidate who is able to multi-task in a fast- paced environment with a natural ability to research issues and follow through to bring closure to them will work well in this position.

Responsibilities

  • Meeting Preparation – including, but not limited to, internal Rates of Return, updating spreadsheets, running statements, preparation of client’s agendas, client packages
  • Meeting confirmation by phone and email daily
  • Request and review reports (Daily Order Entry, Daily Trade Blotters)
  • Reconcile bank deposits
  • Prepare client paperwork as required
  • Provide support and assistance to financial advisors
  • Deliver exceptional service to our clients and answer incoming inquiries
  • Maintain high service standards according to compliance regulations
  • Process client service issues by phone and/or in person
  • Tracking and monitoring incoming transfers, ensuring transfer process moves along quickly and updating client regularly
  • Responsible for ensuring client requests are completed accurately including any transactions with extensive meeting follow-up
  • Maintain comprehensive records in contact management system of all client needs and interactions
  • Meet and sign up prospects who are becoming new clients
  • Execute trades (mutual funds and stocks)
  • Ordering of forms and client meeting packages
  • Frequently assigned to changing priorities

In addition, there are Seasonal/Special Projects that this person would be required to work on for the Service Dept. such as account maturities, RRIF rollovers, tax packages, capital Gain/Loss reports, small LIRA/LIF account unlocking, review of RESP information, Cash Balance review, and internal projects such as deficient documents.

Qualifications

  • Administrative experience
  • 5-10 years Financial industry experience
  • Experience in Microsoft Office software, Windows, email systems and Salesforce would be helpful

Education/training

  • University degree or College diploma
  • Security licensed (Completion or CSC & CPH)
  • Registered with IIROC
